About: Moodle Data Retention Practices

Moodle data at Davidson has a long but limited half-life. This documents outlines retention practices for all Moodle data types. Moodle data breaks down into four very broad categories: scheduled academic courses, unscheduled academic resources, non-academic resources, and user accounts.

  • Scheduled academic courses are those Moodle pages used by scheduled classes. They are retained and available for record retrieval, reference, archival use, and reuse in newer courses for the current semester plus five academic years. For example, Fall 18 courses will be retained until the close of Fall 23.
  • Unscheduled academic resources are those Moodle pages used by academic programs or entities that are either academic or academics-adjacent, but which are not scheduled by the Registrar. For example, advising pages, the Center for Teaching and Learning, discipline-specific placement exams, July Experience, etc. These are retained for as long as the program sponsoring them requires.
  • Non-academic resources are those Moodle pages used by programs and entities that are not specifically academic, or which may exist for purely functional reasons. For example, a department may maintain a course in Unscheduled to disseminate student thesis information, but also havea non-academic site for the conduct of department business.Other examples include developmental sites, training pages, class cohort pages, and the like. These are retained for as long as the program sponsoring them requires.
  • User accounts are retained for the current semester plus five academic years.
