Smart name tags put each person's name under them in a Zoom Room's video, so people joining remotely can tell who's who. This article walks you through setting them up so Zoom Rooms label you automatically.
Setup is a one-time enrollment in your Zoom profile and takes a few minutes. You can enroll a photo for video name tags (your name on screen), a short voice recording for voice name tags (your name in captions, transcripts, and AI Companion summaries), or both.

Important Information
- Automatic name tags are opt-in. If you don't enroll, the room won't recognize you. Someone at the room controller can still tag you by hand for a single meeting.
- Your data: The room processes video and audio on its own equipment and deletes it when the meeting ends. Your enrolled photo and voice recording are stored with your Zoom account, and you can remove them at any time.

Before You Start
Once you're enrolled, a Zoom Room will recognize you when both you and the room are on the meeting invite before the meeting starts.
Setting Up Video Name Tags
You'll give Zoom a reference photo so Zoom Rooms can match your face and show your name on screen.
- Go to davidson.zoom.us and sign in with your Davidson email address and password.
- In the left-hand panel, select Profile.
- Scroll to the Smart recognition section and select Upload image.
- Choose how you want to provide your photo:
- Take a photo: Pick your camera from the drop-down list, then select Take photo.
- Upload a photo: Select Use your own photo, then choose an image file from your computer.
- Use your Zoom profile picture: Select Use your own photo, then Use profile photo, then Complete enrollment.
- When the Enrollment completed window appears, select Close.
Notes:
- Use a clear, well-lit photo of you facing the camera.
- If you don't see Smart recognition, look under Automatic smart name tags and select Enroll next to Zoom Rooms.
- If you don't see options to take or upload a photo, the room uses your Zoom profile picture.
- Allow external Zoom Room to identify you is optional. Leave it unchecked if you only want Davidson's Zoom Rooms to recognize you.
Setting Up Voice Name Tags
You'll record a short voice sample so Zoom Rooms can put your name on what you say in captions, transcripts, and summaries. Record somewhere quiet.
- Go to davidson.zoom.us and sign in with your Davidson email address and password.
- In the left-hand panel, select Profile.
- Scroll to the Smart recognition section and select Create voice recording.
- Pick your microphone from the drop-down list.
- Select Start recording, then read the text on screen out loud at a normal speaking pace.
- Select Stop recording, then Complete enrollment.
- When the Voice recorded window appears, select Close.
Setting up both at once: Under Automatic smart name tags, select Enroll next to Zoom Rooms. After your photo, select Continue to voice enrollment and follow steps 4 through 7.
Using Name Tags in a Meeting
If you're enrolled and on the invite, your name tag appears on its own. Everything else is done from the Zoom Room controller (the tablet on the table).
- Turn name tags on: Tap Participants > More > Enable smart name tags for this room. For voice, tap Enable smart name tags for voice.
- Tag someone who isn't enrolled: Tap Participants, tap the pencil icon, pick the person for each tag, and tap Save. Hand-assigned tags last for that meeting only.
- Fix a wrong name: Tap Participants, then tap the person's name.
- Fix "Speaker 1" in the transcript: Tap More > Transcript, turn on Show Full Transcript, tap Edit smart name tags, assign each speaker, and tap Save. If video tags are on, tap Next to link the voice and video tags before saving.
Removing Your Enrollment
- Go to davidson.zoom.us and sign in.
- In the left-hand panel, select Profile.
- In the Smart recognition section, delete your photo or voice recording, or turn off automatic smart name tags.
Zoom Rooms will stop recognizing you. You can enroll again at any time.
Troubleshooting
| Problem | What to try |

| No name tags at all | Turn them on from the controller: Participants > More > Enable smart name tags for this room. |
| You enrolled, but the room didn't recognize you | Check that you and the Zoom Room were both on the invite before the meeting started. Sitting closer to the camera and facing it also helps. |
| Transcript shows "Speaker 1" | That person hasn't enrolled their voice. Assign the name from More > Transcript. |
Name tags don't work in Teams, Webex, or other non-Zoom meetings, in rooms using multi-camera mode, or in cloud recordings. They work best with 16 or fewer people in the room.
