How to Change or Cancel a Booking in Ad Astra

Ad Astra is Davidson's centralized event management software, used to book many spaces across campus.

About Cancellations

Bookings can be cancelled up to 5 days in advance of the event start time. 

  • Events in Requested status can be cancelled immediately.
  • Scheduled events require submitting a cancellation request for approval.
  • A cancellation reason is required and is saved with the booking for staff to review.
  • Cancellation notifications will also be sent for any resources that had been added to the event.

Access Ad Astra & Cancel a Booking

  1. Log in to Ad Astra - Davidson College. Click Sign In with your SSO provider.   
  1. Once you have signed in, click on the Events icon on the left side to access the request portal. The icon looks like a small ticket with a star in it.   Ticket icon
     
  2. Click My Dashboard to view your events.
     
  3. Click the Cancel Booking button for the event you wish to cancel. The cancel booking option will only appear on events eligible for cancellation.
     
    • Events with a status of Requested can be cancelled immediately.
    • When cancelling a Scheduled event, a cancellation request to the space approver.
       
  4. Enter the reason for the cancellation.
     
  5. Click either Submit Request or No, keep it if you do not want to cancel the event.
